The prompt
I want your help auditing and simplifying my current email, calendar, and browser profile setup. I'm running into friction: too many accounts, sync issues, the wrong account opening by default, sluggish performance, or duplication across apps. I want to end this conversation with a clean, low-overhead system where every account has exactly one home and I know where to go for what. Before recommending anything, ask me about: 1. My accounts: list every email account I use (work, personal, side projects, legacy), the provider for each (Google Workspace, Microsoft/Outlook, iCloud, IMAP/custom domain, etc.), and which ones are primary vs. occasional vs. legacy. 2. My hardware: what machine I'm on, how much RAM and storage I have, and whether performance is a constraint. This matters because heavy clients (Spark, Notion Calendar, Outlook with many accounts) cost real memory. 3. My current setup: what apps I use today for mail, calendar, and browsing, what's working, and specifically what's annoying me right now (the trigger that made me want to fix this). 4. My workflow priorities: do I need real-time notifications for certain accounts? Do I use any CLI/API integrations (terminal scheduling, scripts, automations) that depend on a specific provider? Am I handling sensitive data (legal, investor, medical) that rules out third-party caching services? 5. My direction of travel: am I consolidating toward one identity, transitioning between roles, winding down legacy accounts? The right setup today should match where I'm headed, not just where I am. Once you have that picture, give me: - A single recommended setup (not a menu of options) that maps each account to exactly one home - The reasoning for each placement, especially tradeoffs around RAM, notifications, and reliability - A migration order (what to do first, second, third) so I can make changes incrementally without breaking my workflow - Browser profile structure if I have multiple Google or Microsoft accounts, including which accounts deserve dedicated profiles and which don't - What to actively NOT do: common mistakes like enabling every account in every app, which inflates memory and creates duplicate-notification chaos Push back on me if I'm overcomplicating things or asking for a setup that doesn't match my hardware or actual usage patterns. I want the simplest system that works, not the most feature-rich one.
